What is Aptem virtual assistant?
Virtual assistant answers a learner’s questions about their apprenticeship standard and their own learning plan, using the same knowledge, skills and behaviours their programme is built around. It is contextualised to the individual, so answers relate to what that learner is actually studying, not a generic knowledge base.
Virtual assistant works alongside checkpoint, an AI-generated feature from Aptem Enhance which allows learners to check their understanding. This means a learner who gets a checkpoint question wrong can ask virtual assistant to explain it there and then, rather than waiting for their next tutor session. Every interaction is visible in the tutor’s audit history to prevent plagiarism and highlight knowledge gaps, so oversight stays with the provider.
Two years of proven time savings
Two years in, the figures behind virtual assistant show what it has delivered. Since launch, it has answered 66,100 messages from learners, saving an estimated 330,500 minutes of tutor and skills coach time. That is 5,508 hours, or 787 working days, of routine interruptions removed from the working week.
Spread across two years, that works out at around 53 hours saved every week across our customer base, more than a full working week’s worth of admin time given back. Each message answered saves an average of five minutes that would otherwise have interrupted a tutor’s or skills coach’s day, time instead spent supporting the learners who need them most.

New virtual assistant capabilities arriving in July 2026
Virtual assistant continues to develop on the strength of two years of real usage. From July 2026, learners will see a more prominent, pulsating virtual assistant icon in the navigation bar from the moment they log in, alongside a simple prompt, ‘Not sure what to focus on? Ask me’, making it easier to notice and use from day one.
Once open, virtual assistant will answer directly from a learner’s own data. Learners will be able to ask questions such as ‘What should I do next?’, ‘How is my progress?’ or ‘What’s on my learning plan?’ and receive a specific answer based on their own record.
The same applies to reviews. Learners will be able to ask about upcoming and completed reviews from any screen in Aptem, and check on the actions set within them, including what is outstanding and what is due soonest. Where virtual assistant cannot answer with confidence, it says so and points the learner to their tutor instead.
For learners who find reading on screen difficult, or ESOL learners for whom English is not a first language, virtual assistant will be able to read its answers aloud with controls to pause, resume and skip through. This new feature makes the virtual assistant even more accessible and supportive to learner progress.
