How AI is raising quality standards in apprenticeship delivery

Our conversations with customers show that training providers face a constant balancing act. They must ensure compliance, maintain high-quality teaching and learning, and deliver consistent, measurable outcomes – all while managing significant administrative workloads. Much has been written about the time-saving benefits of AI – our customers save an average of a day a week in routine administration tasks using Aptem Enhance AI-powered features. The quality benefits are often less visible because they can’t be measured in hours saved, but the quality gains are frequently intertwined with the time saving.

Administrative tasks consume a significant proportion of tutors’ working hours. This feature saves time by reducing the admin burden of documenting reviews using the review transcript to pick out the key points and agreed actions and track progress over time. Tutors see an immediate reduction in the amount of admin associated with reviews, and many have reported that conversations are more productive and develop organically without the need for extensive notetaking. This reduction of admin ensures learners are more engaged and receive the review summary and a list of actions swiftly. One learner with dyslexia reported that they felt more able to engage in a productive conversation because the need to take notes had been removed, demonstrating that AI can be learner-centred and help to achieve quality and inclusivity goals.

In a recent webinar, our customer Impact Futures shared the significant quality improvements that enhanced reviews had delivered to the review process, including:

  • Deeper learner and coach connection by reducing the admin burden, leading to more active listening, fostering greater trust and engagement.
  • Learner-led conversations that meet Ofsted requirements and help learners to take ownership, set goals and hold themselves accountable.
  • Greater consistency across reviews with instant feedback loops and action planning during sessions.

Impact Futures estimated while a time saving of up to 30 minutes per review by reducing the admin requirement has been beneficial, the real return has been the quality improvements that benefit learners.

AI can also provide access to objective progress data to ensure learner momentum and highlight those who are struggling. The checkpoint feature within Aptem Enhance automatically generates questions and routinely tests a learner’s understanding of key concepts, based on their KSBs. Checkpoint gives tutors a real-time snapshot of learner progress, helping identify knowledge gaps or potential issues earlier. Engagement is one of the most reliable predictors of learner success and use of checkpoints can improve planned end-date accuracy by around 33%. Apprentices who feel supported, informed, and involved in their learning journey are likelier to stay on track, achieve milestones, and complete their programmes. This proactive approach enables interventions before problems escalate, improving learner confidence and outcomes.

Improving marking quality and organisational consistency

One of the challenges many providers face is ensuring consistency in marking and feedback across different tutors and cohorts. Variability in how work is assessed can affect both learner experience and quality assurance. Inconsistent feedback can also create challenges during inspections and audits. By mapping marking suggestions to KSB criteria and using structured templates, marking aid supports tutors in delivering accurate, clear, and standardised feedback. Importantly, the AI doesn’t replace human judgement – tutors remain in complete control, reviewing, editing, and approving suggestions and the AI learns from this input.
