The most efficient EPA preparation starts at the programme design stage. For standards that include a portfolio, Aptem supports three approaches to identifying and collating evidence:
- Evidence naming conventions, where apprentices name uploads consistently to match an assessment organisation’s file-naming rules.
- Learning plan activity naming conventions, where the structure of the learning plan signposts where specific evidence belongs, so a tutor can filter by activity to gather the right evidence.
- Bespoke portfolio criteria sets, built within Aptem and mapped at component level, so evidence is linked directly to assessment requirements alongside the standard.
When it is time to submit, the portfolio exports as a structured zip file with an index that maps each piece of evidence to the relevant knowledge, skills and behaviours (KSBs), with hyperlinks to the source files. It can be exported as many times as needed, by either a tutor or the apprentice.
Track readiness against the standard
The learning plan does not have to end at the point an apprentice moves into assessment. Providers can add components that reflect specific assessment methods, such as projects, interviews, or presentations, and use tasks and calendar reminders to keep the apprentice on track.
Two features support readiness checks:
- The skills radar lets tutors, employers, and apprentices score competencies over time and set target scores. An apprentice working towards a target shows as “working towards” until they reach it, which supports stretch and challenge and gives a clear picture of progress.
- The checkpoint feature generates AI questions mapped to the KSBs of the standard. Setting an all-KSB checkpoint towards the end of a programme gives an impartial indication of readiness. Each result shows which questions were answered correctly, and for incorrect answers it explains the correct response, so a tutor can target follow-up support.
Manage the assessment and completion process
Aptem tracks registration and certification, so a provider can record an apprentice’s assessment registration number and dates, monitor progress, and store the final certificate for audit. Records can be filtered and updated in bulk across a caseload.
For assessment organisations that use a compatible system, an integration keeps the two platforms in step. Aptem registers eligible learners automatically and brings planning meetings, assessment plans, and results back into the platform, so a tutor can see progress without logging into a separate system.
Where a standard requires a gateway declaration, providers can build the declaration into a review at programme level. Most assessment organisations accept an Aptem review document for this purpose, provided it contains the same essential information as their own form. Signatures are captured electronically and the signed document is stored as a PDF.
The final stage is recording completion in the ILR. The completion process automation feature updates the actual end date, off-the-job hours, achievement date, outcome, and completion status, and moves the apprentice to the correct programme status. Every change is tracked, giving a reliable audit trail and reducing the manual data entry that can lead to funding or compliance errors.
