How enhanced reviews works in Aptem and how to get the most from it

Enhanced reviews is an AI feature in Aptem Enhance, the AI feature set within Aptem Apprentice, that turns a review meeting transcript into a structured summary. It gives tutors back the time they would otherwise spend writing up reviews, so they can focus on coaching the learner during the meeting rather than typing.

How the enhanced reviews summarisation feature works

After a review meeting, a tutor uploads the meeting transcript into the review and the system generates a summary. The transcript can come from Microsoft Teams, Google Meet, Zoom, or any meeting software the provider uses, and the summary appears within seconds. Where a provider has the communications connector for Microsoft Teams, the transcript can be pulled in directly with a single action rather than downloaded and uploaded, though the meeting still needs to be recorded and transcribed for a transcript to exist.

The feature uses the meeting details section of a review, and up to 10 files can be summarised at once. That matters in practice: if a connection drops or a recording is stopped and restarted, a review can end up with several transcripts, and the enhanced reviews feature will combine them into a single summary.

Preparing a review to get the best results

Two habits make enhanced reviews more effective.

The first is scheduling reviews correctly using the scheduling tool, so the review sits in the learning plan with the right date and task. Tutors can also calculate learning progress before the meeting, giving an accurate picture of where the learner is against their standard, off-the-job hours, and timeline.

The second is structuring, or scripting, the review into clear sections, each with its own free-text box. A structured review makes it easy to populate each section from the summary afterwards. Providers who use the review responses OData feed should keep text fields in place, because those fields feed reporting elsewhere in the business.

Before a review, a tutor can also use the previous review summary feature, which surfaces summaries of earlier reviews, including those run by other tutors such as a functional skills tutor, in one place. This cuts preparation time and the need for notes and emails between tutors, and a notes-for-planning area lets a tutor capture points to raise with the learner and employer.

From summary to review record

Once the summary is generated, the tutor uses it to populate the relevant sections of the review, such as progress against checkpoints and milestones, the impact of learning, English and maths, end-point assessment readiness, and the actions and targets set for the learner. The skills radar and rating can be updated at the same time.

It is good practice to read the summary before relying on it. Transcripts can spell names incorrectly, and that carries into the summary, so the sections remain editable. The summary appears in the PDF version of the review that the learner and employer sign, so tutors should be mindful that the transcript content is visible. For sensitive reviews, such as some learning-support reviews, a provider may choose not to align a summary, in line with their own confidentiality policies.

Enhanced reviews also includes auto review actions, which generates trackable goals and actions for a learner from the review discussion, reducing manual follow-up further.
