Why apprenticeship providers are switching to Aptem Apprentice

Switching to Aptem

Providers moving away from other apprenticeship management systems are typically looking for more configurability, a faster pace of product development, and a partner that keeps them compliant as funding and inspection rules change. Aptem Apprentice is an end-to-end apprenticeship delivery platform built for training providers, colleges, and universities, covering onboarding, learning delivery, compliance, and end-point assessment preparation.

This article explains the sector changes driving providers to review their technology, the configurability and AI features that come up most often in switching decisions, and the ongoing support a provider can expect once they move to Aptem.

Why providers are reviewing their technology now

Several changes are reshaping apprenticeship delivery at once. Assessment reform is moving providers away from a single formal assessment at the end of a programme towards more assessment on programme. Ofsted’s current education inspection framework puts a stronger focus on inclusion, summarised as no learner left behind, so providers need systems that evidence an individual learner’s journey clearly. Machinery-of-government changes have moved policy ownership from the former ESFA to the DfE and, more recently, towards the DWP, alongside the renaming of the Apprenticeship Levy to the Growth and Skills Levy. Providers are also diversifying into apprenticeship units and lifelong learning provision.

Configurable, branded learner and employer journeys

Providers can build their own onboarding journey rather than following a fixed, generic process. Onboarding steps can include programme and institution information, co-branding with an employer, initial assessments, personal learning record (PLR) retrieval, cognitive assessment, and a provider’s own FAQ content, with the provider’s own images, branding, and terminology throughout. Onboarding questions can be tailored to a standard, cohort, or employer, and providers can add their own bespoke questions where their process needs them.

Flexible learning plans without extra admin

Learning plans can be configured to match a provider’s own programme requirements, with changes synced across multiple learners, groups, and programmes at once. Sub-programmes let a provider attach additional learning elements to a main programme, for example targeted learning support, functional skills content, or a stretch and challenge pathway for higher-performing learners, without duplicating the whole programme structure.

Inclusion and early intervention

A built-in cognitive assessment, Aptem Assess, is included across Aptem’s packages and is also available as a standalone product. It supports the personalisation Ofsted’s current framework expects, and it feeds into dashboards that flag learners needing early intervention. A real-time performance dashboard shows caseload lifecycle, learners past their planned end date (PPED), off-the-job hours progress against target, and a red-amber-green status view, alongside a summary of what needs attention for whichever user is logged in.

One connected platform

Aptem maintains a set of pre-built integrations, including functional skills providers, cognitive assessment, and calendar and meetings tools, so providers are not managing data across several disconnected systems. The most recent addition is a Microsoft Teams connector, built from customer feedback, which lets a provider manage meeting invitations from either Aptem or Teams while keeping both in sync, including pulling review transcripts back into the learner record.

AI features with a tutor still in control

Aptem Enhance is the AI feature set built into Aptem Apprentice, and every feature keeps a person in the loop. Review summarisation saves an estimated 30 minutes of admin per review by generating a structured summary from a meeting transcript, which a tutor reviews before use. The virtual assistant answers learners’ routine questions about their standard and programme, reducing minor queries reaching a tutor or skills coach. Checkpoint generates standard-mapped multiple-choice assessments so tutors can check understanding objectively at any point on programme. Marking aid gives tutors an AI-generated first-pass mark and feedback on written exercises, which they review and approve, roughly halving marking time per piece of work. Aptem has shipped 229 new features and enhancements in the past year, funded by a development team that makes up more than half of the company’s staff.

Ongoing investment and support

Aptem publishes its product roadmap, including what has shipped over the past two years and what is planned next, so providers can see the direction of travel rather than relying on promises. A Compliance Advisory Board, bringing together external sector specialists, including a representative from the Fellowship of Inspection Nominees (FIN), reviews regulatory change and feeds into product priorities. Providers also get defined response-time service levels for support, and Aptem manages funding-rule-driven updates centrally so providers are not left preparing for a new academic year alone.

What customers report

London South Bank University has quantified administration cost and time savings of £150,000 to £200,000 a year since moving to Aptem. Pareto, an independent training provider, has seen a reduction in the number of minor queries reaching its skills coaches since introducing the virtual assistant, and reported a 16% increase in learner achievement rate. One provider moving from another apprenticeship management system reduced average lead-to-start conversion time from 31 days to 9.4 days after switching.

Frequently asked questions

What makes Aptem Apprentice configurable for individual providers?

Providers can brand onboarding with their own images and terminology, add bespoke questions, and use sub-programmes to attach extra learning without changing the whole programme structure.

What is a sub-programme in Aptem Apprentice?

A sub-programme plugs additional learning, such as functional skills content or a stretch and challenge pathway, into a main programme for specific learners without duplicating it.

How does Aptem Apprentice support inclusion under the current Ofsted framework?

Aptem Assess and configurable dashboards help providers evidence an individual learner’s journey and flag learners needing early intervention.
