It provides a clear overview of where each learner stands in relation to their formal qualification, from initial registration through to certificate dispatch.
The assessment record sits within the qualification record and captures event-level detail. Marks, resit information, dates, statuses and grades for individual assessment events are all recorded here, building a progressive history of each learner’s assessment activity over time.
Together, these two levels give providers both the high-level overview and the granular detail needed to manage assessment effectively. Unlike systems that separate registration data from assessment detail, or require manual data consolidation for quality reporting, Aptem’s two-level approach keeps everything linked and accessible.
Flexible configuration to match different delivery models

At its simplest, the platform can be used to record overall EPA registration and outcome. This is sufficient for providers whose primary need is a clear, consistent record of where each learner has ended up. For those who need greater detail, individual EPA components can be configured separately, enabling results to be tracked at the level of each assessment element as well as overall. Where a standard includes multiple components, such as a knowledge test, professional discussion and portfolio-based assessment, each can be tracked independently alongside an overall grade.
For providers who want to go further, the platform also supports tracking of gateway readiness and mock assessments, creating a complete picture of the journey from preparation through to formal assessment. This is particularly valuable where providers want to capture evidence of readiness systematically, or where quality assurance processes require visibility of mock assessment activity before gateway sign-off.
The recommended approach for most providers is to configure assessment tracking within a subprogram rather than the delivery programme directly. This offers significant flexibility, particularly where a standard exists in multiple versions and EPA requirements have changed between them. A single delivery programme can be maintained while different assessment tracking is applied to learners depending on the version they are on. Subprograms can also be adjusted or replaced without affecting the underlying delivery record.
Maintaining assessment data across teams
Assessment data in Aptem Apprentice can be accessed and updated from the learner profile, making it straightforward for tutors and coaches to record activity as it happens. For providers who prefer to centralise this responsibility, the registration and certification screen provides a managed view that can be restricted to exams coordinators, compliance officers, MIS teams, or whichever roles are accountable for assessment administration within a given provider.
This flexibility means the platform can accommodate a range of operational models. Some providers have tutors booking and recording assessments directly. Others route all assessment activity through a dedicated team. In both cases, the data flows into the same record, maintaining consistency regardless of who is updating it.
As each assessment event progresses, whether booked, cancelled, awaiting a result or completed, the record updates in real time. Resit cycles can be tracked through from rebooking to outcome. Certificate receipt and dispatch can be logged, with copies attached and, where relevant, postal tracking references recorded.
Reporting on assessment outcomes
The platform provides three ways to report on assessment data, depending on the level of detail required.
The in-system grid within the registration and certification screen gives an immediate operational view, showing registration status and assessment progress across the full learner cohort. Filters by status, employer group, tutor or qualification name allow teams to identify quickly who is approaching EPA, who has not yet been registered, or where results are outstanding. The assessments tab provides additional filtering by subprogram, which is particularly useful where different EPA criteria sets apply across a provider’s portfolio.
For audit-level reporting, OData tables provide a full chronological history of how each assessment status has changed over time, supporting complete traceability from initial booking through to final outcome. The awarding body qualifications table and the awarding body qualifications assessment history table are the two relevant data sources.
Data can also be exported via CSV for providers who want to work with assessment information outside the platform, with export permissions managed separately from access to the registration and certification screen.
Assessment data as a quality tool
The value of this functionality extends beyond operational tracking. When assessment results are recorded at component level, providers can begin to identify patterns across cohorts and programmes. Differences in performance between assessment types, for example where learners consistently achieve higher grades in professional discussions than in knowledge tests, become visible in the data and can inform curriculum decisions, quality improvement planning and self-assessment.
